2011.3 Release Notes: Signatures, Merge Owners, Share Download Links and more...

Released: May 1st, 2011

We are excited to share the details of our 3rd release of 2011. This release has added the ability to capture digital signatures on the web and mobile. As well you can now share downloads externally to your customers to allow for easy distribution of reports.

Signatures
We are excited to announce the ability to capture inspector and customer signatures on inspections. When setting up inspection checklists you can now specify a Signature Type which will allow anyone to sign on Field ID Web or Mobile.

Share Downloads
We have made some great improvements to downloads you generate from Field ID. Firstly, you can now rename your downloads so it will be easier to identify what the download is for. As well, you can now delete downloads before the expiry date. Any download that has not yet been viewed will appear in bold.

Secondly, you can now share any download with people who don't have Field ID accounts. To do this simply click on the Share link.


 
Clicking on Share by Email will allow you to email the person receiving the download right from Field ID.




Merge Owners (Customers / Job Sites)
In many cases in Field ID you may end up with duplicate customer (or job site) records. Previously, there was no easy way to merge these two records together. With 2011.3 you can now select two owner records and merge them together. This works very similar to merging assets together.

To get started find the "loser" customer from the View All Owner listing and click on the name. You will then see a Merge link at the top.


Click on this link to start the process. You will then go through searching for the customer you want to keep (or the winner). Everything from the loser will be copied over to the winner including, assets, events, schedules, jobs and event books. The loser customer is then archived in your account.



Some more little enhancements...
Our development team also added in the following small enhancements to Field ID this release:
  1. Update to Activity Feed Section - we have updated the activity feed section to show the result of the event and upcoming schedules in either a green or red color to easily identify if anything failed or is overdue. 
  2. Mass Event Refresh - the mass event style has been updated slightly to increase the usability. 
  3. New Oops Page - if Field ID ever encounters a error or problem you will now see a new page that will describe the problem and a link to contact support for assistance.
  4. Update to Schedules Tab - the schedules tab has been refreshed with a new layout. You can now easily see what events are upcoming or overdue as well as schedule new events .  
  5. Update to Start Event Page - the Start Event page has been refreshed and now sports our green and red color coding for upcoming and overdue events. 
  6. Increased file size for Asset Type Image - when adding a asset type image the maximum file size has now been increased from 100kb to 500kb.
  7. Blank Slates - the Downloads, Asset Events and Asset Schedules screen now have blank slates if there is no data recorded yet. This will better help you learn what these screens will show.
  8. Enhanced Print Link - if there is only one PDF report to print when you click on the Print link it will immediately print the PDF instead of bringing up a menu.
  9. Sorting on Manage Users - on the Manage Users page under setup you can now sort ascending and descending by User Name, Name, Organization, Customer, Division and Email Address. 
  10. Filtering on Users, Owners, Event Types & Asset Types - on the mentioned pages you can now filter the results by a number of criteria. This will help you better manage long lists of data.
  11. Mass Event Updates - when completing a mass event you can now select if a schedule is being completed. As well, when you complete a Mass Event it will now create and schedules that you setup to be auto scheduled. 
Fixes to known issues
A list of all known issues that were fixed with this release:
  1. Sorting Results  - in some cases when you sorted your search results it would exclude certain assets or events. This has been resolved. 
  2. Assigned To in Excel Export - the export to Excel will now include the Assigned To field if you have selected to display it on the results.
  3. Assigned To list in Mass Event - the Assigned To list in Mass Event now will show all users. 
  4. Organizations in Alpha order - in the Owner drop down the Organization list is now ordered alphabetically

We are excited to share the details of our 2nd release of 2011. This release focuses more improvements to the Event Builder and the ability to customize your display columns on Searching, Reporting and Schedules.

Customize Result Columns
In Field ID we have 3 distinct ways of searching for your data – Search, Reporting and Schedules (or as well call it SRS). On the results screen, there are default columns that are displayed and you then have the option of selecting individual columns. In this release, you will now be able to set the default display columns for your account.

Combo Boxes and Unit of Measures on your Checklist
On your event forms (or checklists) you can now create criteria to utilize the combo boxes and unit of measures. Just as you would select one-click buttons or a drop down you can select these new types.

Unit of Measures have a new look which will make the data entry faster. Unit of Measure are broken down into Primary and Secondary measurements. For example if you were to record Feet and Inches the Feet would be the primary measurement and Inches would be the secondary measurement.
Schedule Events during Identify and Multi-Add
On the Identify and Multi-Add screen we have added the ability to schedule events without having to go to the Save and Schedule screen. If there are any auto schedules setup you will see these automatically created. If needed you can remove and create any schedules.


Asset and Event Type Associations
When you create a event type now, let's say a Repair you can now easily associate that event type will all asset types. Simply click on the Asset Type Associations tab and select individual asset types or click all to indicate that this event can be completed on those asset types. Similarly under Asset Types you can click on the Event Type Associations to select event types that can be completed on a asset type.



Updated Asset Events History
On the Event Type tab you will some small changes. The results are now color coded so you can easily identify the result of an event. As well the Asset Status is now displayed on this page. This will help see if there was any change in the status of the asset at time of a event.



Some more little enhancements...
Our development team also added in the following small enhancements to Field ID this release:
  1. Set's Result is now remembered - when using the event builder the last button group that you used is remembered. We have extended this so it will also remember if you have selected the set's result check box.
  2. Activity is now Activity Feed - on a asset homepage the Activity section has been renamed Activity Feed to better reflect what the section is used for.
  3. Nicer color for links - we have updated the blue color that we used for links to a nicer blue. A small change but makes it easier on your eyes.
  4. Mass Delete Events - from the reporting search you can now select individual events on the results screen click mass update and then delete them all.  
  5. Archive Organizational Units - under Setup > Organizational Units you can now archive any secondary OU that you would like. Any assets and events assigned the archived OU will remain in your account. 
  6. Archive Users - currently you can Delete any user account. We have changed this to archive. This will allow you to keep track of the user that have been archived and allow you to bring them back to active if needed.
  7. Enable / Disable Proof Test Details - during the setup wizard you will now be asked if you would like to have Proof Test Integration. Checking this will then enable Multi-Proof Test Upload and allow you to select Proof Test Types when creating events. You can update this at any time by going to Setup > Settings > System Settings.
  8. Location Filter on Assign Schedule to Job - when you are using the Job search to assign scheduled events you can now filter by location.
  9. Filter Email Notification by Event Type Group - when creating a email notification you can select a Event Type Group to filter the notifications.
  10. Event Type Group Created / Modified Date User  - on Event Type Groups you can now see the created and modified date and user.
  11. Assign to Me - if you have the Assigned To feature turned on in your Field ID account when you are logged in there will now be a Assign To Me link that will automatically select your name from the list.
Fixes to known issues
A list of all known issues that were fixed with this release:
  1. Message on View Organizations  - when you were viewing an organizational unit there was a message that was being display which was incorrect.
  2. Manage Users Pagination - in some cases when the pagination and filter are applied the pagination may be displayed when it was not needed.
  3. Upload Limit when Identifying an Asset - in some cases when identifying a asset the maximum number of file uploads was always set to 2. If you have a override to allow for more it will now respect that override. 
  4. Read Only Users cannot access Mass Update - on Field ID Mobile Read-Only users now have access to mass update the location information.
  5. Comment Template Order - on Field ID Mobile the comment templates are now ordered alphabetically

2011.1 Release Notes: New Event Builder, Mobile Inspection Interface, Lite Users, Asset Homepage and more...

We are excited to share the details of our 1st release of 2011. This release focuses a lot on an improved Event Builder which can now handle more than the one-click buttons. We have added the ability to use text fields and drop downs when performing an event.

Event Builder

One of the most used features by Field ID administrators is the Event Builder. This feature has existed for a while but has not gone through a major upgrade in a some time. With this release you will find a brand new event builder with a ton of new features. Here are some of the highlights of the new builder:
  1. Quicker Interface for creating and editing event forms
  2. Reorder Sections and Criteria
  3. Copy entire Sections
  4. Add Text Fields and Drop downs in addition to one-click buttons
  5. Easily save your work while you create your forms
Lite Users & Employee Read-Only Users
We have introduced a new level of user in this Field ID release. Currently there are Full and Read-Only users. The new Lite User will fit right between the two of them. Lite users are purchased just like Full Users but at a reduced cost.

Here is how the three user types look side-by-side:

The other change with this is if you have Read-Only users you will now be able create Read-Only users for Employees of your company. This will allow them to login and run reports and view data.
Asset Homepage
This page shows everything from the attribute information  to the last event that was performed. The current asset home page has remained unchanged for almost two years now. While the current design works well, the layout of the information isn’t the most efficient. We have attempted to make the presentation of the Asset Home page more streamlined, easier to read and show more information. Read a blog post dedicated to this new features.


Created and Last Modified Information

On certain areas in the Field ID Setup screens we now show the created by user and date/time as well as the modified by user and date/time. This information has been added on the following screens:
  1. Event Types
  2. Asset Types
  3. Owners
  4. Asset Type Groups
  5. Asset Statuses
New Mobile Inspection Interface
The mobile has undergone a huge overhaul on how we present the inspection forms. This has resulted in a much faster way of completing inspections. Here are a couple of screen shots of the new interface:



Some more little enhancements...
Our development team also added in the following small enhancements to Field ID this release:
  1. Paginated Smart Search Results - when you search for assets using the smart search if there are more than 20 results you will now see a paginated list.
  2. Unique Asset Statuses - asset statuses in Field ID are now unique. If you create a status called "In Need of Repair" you will not be able to create another one with the same name.
  3. Setup Wizard now Under Setup - the setup wizard has been moved from the dashboard to the Setup page.
  4. Employees can now request accounts - from your main Field ID login page if you have the Partner Center you will see a button that will allow someone to request an account. For an account that was requested you can now select if this user is an employee or customer.
  5. Mass Delete Assets - on the asset search you can now select individual assets on the results screen click mass update and then delete them all.  
  6. Notification Settings - you can set a Asset Type Group and Asset Status filter. As well the time frame is now increased to look out 6, 9, 12, 18 and 24 months.
  7. Next Scheduled Date on Asset Search - on the asset search you can now include the next schedule event date on the results screen. If there is no next scheduled date then the field will be blank
  8. Mass Update Order Number - on the asset search you can now mass update the order number (note: this will only work if you do not have order integration)
  9. Enhanced Assigned To - if your company uses the assigned to drop down you can now assign equipment to any type of user. This includes, employees and customers. The drop down is grouped by organization and customer name.
  10. Multi-Add now supports Add with Order - if you are using order integration with Field ID you can now utilize multi-add. From the Add with Order screen you can now select either Single or Multi add for order line items. If there are a quantity of 10 on a line item you can select Multi-Add and identify all 10 at once.
Fixes to known issues
A list of all known issues that were fixed with this release:
  1. Add with Order History - when you are using Add with Order Field ID was not remember the the values that you had entered. 
  2. Event Attributes not showing under Reporting - the ability to select event attributes under Reporting is now enabled again. When you select an Event Type you will be able to select the attributes to include on your results.
  3. Sorting on Reporting not reflected in Print All - when you sort your results on reporting and select Print All Reports the order on the screen is now the order that the PDFs will be generated.

We are excited to share the details of our 10th Field ID release of 2010. This marks our last release for 2010 which was a great year with many amazing enhancements and growth to the product. We tried to pack a lot into this last release to end 2010. As always, 2011 promises to deliver even more exciting features.

Terminology changes
To accommodate the growing number of Field ID customers and users we have standarized our terminology both on Field ID Web and Mobile. This will provide more general terms to apply to what you are using Field ID for. The two major changes are:
  1. Products are now Assets - everything that has the word product in it is now Asset. For example, Product Types are now Asset Types. Product Status is now Asset Status.
  2. Inspections are now Events - everything that has the word inspection in it is now Event. For example, Inspect is now Start Event, Inspection Types are now Event Types.
UI Improvements


The biggest change in this release are major improvements to the Field ID user interface. This upgrade has improved every major screen in Field ID: making it easier to use, providing better data presentation and improving the consistency across the site. Watch a video highlighting all user interface improvements. Here are the major user interface improvements to take note of:
  1. Dashboard - same information just a better layout. A new Messages & Announcements section will keep you up to date on all important information pertaining to Field ID.
  2. Identify - data is now grouped together better and the asset type has been moved to the top of the screen
  3. Assets, Reporting and Schedules - cleaner layout to group the search criteria together makes finding your data easier and faster.
  4. Setup - moved to a tabbed: layout each major section of your Field ID setup is now on their own tab. New tabs such as Import and Widgets will help uncover new features in Field ID that you may not have known existed.
Select boxes and Action list on search results


When you now run a asset, reporting or schedules search there will be two new features:
  1. Select boxes - this will allow you to select on the items that you would like to perform actions on. Whether this is mass update, perform a mass event, export to Excel or Print PDF Reports. You can now get just exactly the data you are looking for. Read a blog post dedicated to this new exciting feature.
  2. Action list - beside each result there is now a new Actions link. Hover over this link and you will be presented with a list of actions that can be done on that item. Previously many of these actions were hard to find and required many clicks to perform them.
Blank Slates
Blank Slates are commonly used in software to help users get started with various parts of the system. They provide simple instructions when a user enters a page that has no data yet. We have rolled out a series of blank slates to help new and existing users get started with various parts of Field ID. You will now find blank slates on the following parts of Field ID:
  1. Comment Templates - view the blank slate
  2. Asset Type Groups - view the blank slate
  3. Manage Customers / Job Sites - view the blank slate
  4. Notification Settings - view the blank slate

Our development team also added in the following small enhancements to Field ID this release:
  1. Remember your History on Multi-Add - now when using Multi-Add Field ID will remember the data that you last entered. This will speed up the process when using Multi-Add for identifying similar assets
  2. Archive Divisions - under your Customer / Job site section in Setup you can now archive individual divisions. Once the divisions are archived you can view all archived divisions and unarchive them if needed. 
  3. Filter by Event Type - on Reporting and Schedules you can now filter your results by Event Type. Selecting the Event Type Group first will filter the list of Event Types that belong to that Event Type Group.
  4. Save / Cancel buttons Standardized - You will now see a consistent layout for all Save and Cancel buttons. They will always be left aligned and Save will be a button and Cancel will be a link.
  5. Improved Quick Setup Wizard - first time users will now see a refined setup process. Based on customer feedback we have streamlined the process and improved the user interface.
  6. Notification Settings - you can now set email notifications to display any past event that has failed an event such as a visual inspection or audit. As well, you can now opt out of getting emails if there is nothing to notify on.
Fixes to known issues
A list of all known issues that were fixed with this release:
  1. Order Number linked with Multi-Add - when using Multi-Add if an order number was entered it would be associated with all assets. If you changed the Order Number on one asset it would update on all assets identified together. This has been fixed - each assets has their own order number.
  2. Event Result and Saved Reports - saved reports will now save the event result that is selected as part of the criteria saved.
  3. False Overdue Notifications - due to the time zone differences in Field ID some users were getting email notifications with false overdue events. Time zones are now taken into consideration when sending out notifications.

Safety Network
We have taken customer feedback and updated the safety network to include a new layout and improved connecting to customer and vendors. We have simplified the registration process and now allow you to see a list of assets that have been assigned to you from a connection. For more information please read the help documentation or watch the webinar video above.

New Certificate Selector


The certificate selector found under Event Type Groups has gone through a design change. It now has a clearer layout and you can generate a PDF preview of the certificate.

New Tabs


The design of the tabs in Field ID have been updated. We have tightened up the design, decreased the font size a small amount and removed the dark grey bar behind it. The result is a cleaner layout on all pages.

Below you will read about the major improvements that we have made to Field ID in this release.

Overview of New Features in Field ID Web

Wild Card Searches

On the Assets, Reporting and Schedules screen you can now use wildcards to broaden your searching. Here’s how they work. In any free-form text field you can enter the wildcard character * before or after your criteria. For example, let’s say we were searching for a location and we wanted to find everything that contained ‘Building’. We can simply type *Building* into the Location field. You will now see all Locations that contain the word Building. We could also type *Building or Building* to narrow down the search.

Archive Owners

When managing your customer or job sites you can now archive any record. Simply click on the Archive link and the customer or job site will be moved over the the Archive tab. You can unarchive these at any time by clicking on the Unarchive link.


Overview of New Features in Field ID Mobile

Data Sync
This is the biggest and most exciting of this release. We have re-designed the data sync in Field ID from the ground up. What we have come up with is a faster, easier to user and more robust transfer of data. Here are some of the highlights:

  •  Speed, speed and more speed. Here are some benchmarks for downloading 550 Assets: Current Version: 46 minutes - New Version: 11:46 minutes (5:01 without events)
  •     Time-elapsed and time remaining giving constant feedback
  •     Resume download if the internet connection is lost
  •     New easier-to-use interface
  •     Smart updating ensures that only the assets that have been modified will be downloaded
  •     You can now choose to download only assets or assets and past events
